How to set marketing status using a workflow
A workflow gives you more control over when and how you update marketing status.
👉 This is useful if you only want to update marketing status for submissions from a specific form, or only after a contact meets additional criteria. This works particularly well for managing Marketing Qualified Leads (MQLs), where you may only want to update marketing status once a contact has been qualified.
- Go to Marketing > Forms and open the form.
- Click Edit.
- Open the automation/workflows icon in the left panel.
- Click + Add a new simple workflow.
- In the right panel, under Trigger the action(s) when, select A contact submitted a form.
👉 If you create a simple workflow from the form editor, it will run when someone submits that form.
Why use a workflow instead of the default form setting?
👉 Use a workflow when you need more control over how and when you update marketing status.
👉 Use the default form setting when you want a simple, automatic update for every submission.
A workflow is the better choice when you want to:
- Set marketing status only for submissions from specific forms rather than every form submission covered by a default setting
- Add extra steps before changing status, such as internal notifications, task creation, or other follow-up actions.
- Build more advanced automation in a single place using the Workflows tool.
💡Important: Make sure marketing contact status is only applied when valid consent or legal basis has already been captured, where required.
- Assign the correct subscription types based on what the contact opted into on the form, so their communication preferences are set correctly.

- Automatically setting contacts as marketing with workflows requires a Professional or Enterprise subscription.
- If you’re creating a simple workflow from the form editor, you’ll need Workflows Edit permissions.
- In form-based simple workflows, the enrollment trigger is tied to the form submission, and contacts can enrol each time the form is submitted.
